About the Company:

Our client is a luxury home builder based in Melbourne's far south eastern suburbs, building bepsoke architectural designed homes acrosss the Mornington Peninsula. Building up to 6 homes a year with build values between $4M - $10M, they have a niche focus on high-quality craftsmanship and complex designs as well as working with some of the most recognised Architects and Interior Designers in the modern design sector.

They have a commitment to delivering a quality service throughout their entire build process, and are now looking for an experienced Contracts Administrator to drive the project and trades with the support of the director.

About the Role:

As a Contracts Administrator, you will be responsible for managing the contractual obligations between trades and contractors, building and maintaining relationships with stakeholders, and ensuring the builds are running successfully with the assistance of the Construction Manager and Director. The CA will initially be responsible for 2 projects valued at $7M.

Responsibilities:

  • Prepare tender trade packages for all relevant documents for the project including scope of works, drawings, and specifications etc.
  • Prepare detailed scope of works for each sub-contractor
  • Develop, distribute, and explain agreements to sub-contractors observing head contract requirements, and in compliance with company policy
  • Assess quotations, manage budgets, negotiate with sub-contractors, and analyse risks involved with specific contract terms
  • Monitor and prepare detailed reports of cost forecast, cost control and cash flows
  • Acquire equipment and materials, prepare PO's, and monitor stock
  • Maintain and update documents and reigsters relating to the construction programme
  • Monitor performance to achieve required contract outcomes
  • Assess suppliers/sub-contractors' resources, quality systems, OHS systems, and industrial relations skill level to meet the contract requirements, specifications, and company commercial terms
  • Review project docs, interpret plans, and contract provisions
  • Update schedules and advise the site team on supplier and trade status
  • Liaise with clients incl variation tracking, weekly progress reports, and RFI submittals
  • Manage trade and materials ordering communication
  • Ensure all working drawings and quotes are compliant with the company's agreements
  • Assist the CM in preparing reports and risk management plans
  • Keep accurate records of all project documentation and meetings

What you need:

  • A minimum of 3 years as a residential Contracts Administrator across custom, high end builds in Australia
  • A Bachelors Degree in Construction Management/Project Management is highly regarded
  • Excellent written and verbal communication
  • Strong analytical and problem solving skills
  • Ability to work across multiple projects in a fast paced environment
